The submission of digital images of entered work by all classes of membership and non-members is PREFERRED as it facilitates pre-exhibition publicity and the compilation of shortlists for prizes (which is to your benefit). Entry of images implies your acceptance of use of those images for exhibition publicity by the SEA. We intend to showcase the exhibition on line for the duration of the exhibition in the form of a slideshow. If you do not submit images, you will not be included.
Those entrants who wish to have work CONSIDERED for the catalogue, or entered in the online slideshow of the exhibition MUST SUBMIT digital images AT THE TIME OF ENTRY (Note that this includes Full Members, in order that the catalogue can be prepared in advance). Payment for accepted catalogue images will be billed to you after Handing In.
Handing In Day: Tues 22nd July PLEASE NOTE: NO ENTRIES CAN BE ACCEPTED AFTER 3PM
Work will be accepted from 10.00am until 3pm. ALL work will pass before the Judging Panel for final approval, whilst up to SIX works from Full Members may be submitted and accepted. The Judges and Hanging Committee reserve the right to describe work as ACCEPTED NOT HUNG.

Unsold work must be collected between 3.15pm and 4.30pm
Eligibility: This is an Open Exhibition and as such is open to all artists. Please note however that all members should be up to date with subscriptions and those hoping for promotion should have paid their subscriptions continuously throughout the promotion period.
Format of work: Work must be original and in any medium except photography/digital art. All submissions are to be equestrian related and may/may not be accepted at the discretion of the judges. THE JUDGES DECISION IS FINAL.
Number of Works: You are entitled to submit a maximum of SIX works for consideration, however the maximum number of accepted works
for non-members is TWO, Friends THREE, Associates FOUR, Full members are entitled to have up to SIX works hung, with the option of work described as ACCEPTED NOT HUNG. The minimum price for works in the main exhibition is set at £350, with the exception of original prints.
Entry Fee: £12 for each work submitted. Full Members entering six works will have the sixth entry free. There are NO hanging fees. Entry fees may be paid online via www.equestrianartists.co.uk or by cheque, made payable to the “Society of Equestrian Artists”. Not For Sale Work (You may enter only one NFS work per person) at £25 per entry.
Fees or a printed receipt for online payment MUST be sent with the BLUE and WHITE (or two white if downloading) copies of the entry form. The third (yellow) form is YOUR COPY and MUST be retained by the entrant, and brought to Handing in Day. No refunds will be made.
If you wish your work to be considered for entry into the catalogue you may also indicate up to two preferred works on the entry form. Fees for inclusion if accepted are £20 for the first image and £30 for two images. The price also includes a complimentary copy of the catalogue. You will be invoiced after handing in day if successful.
Digital Pre-Selection is OPEN TO ASSOCIATES, FRIENDS and NON-MEMBERS
Digital images are to be submitted on cd or as an email .JPEG attachment. (image size at least 1MB, resolution no less than 300 dpi or 1000x1000pixels but no bigger than 3MB) and are to accompany the entry form and fees.
Please save your images with the following naming protocol: Artists Name “Title of Work”.jpg” e.g. Brown, Tom GreyHorse.jpg PLEASE do not submit via a zip file as it often makes the files larger.
Please submit ONE image per entry, apart from sculpture, for which it is advisable to submit at least THREE views. Ensure your image is saved with the same title as the work it refers to – unnamed images will not be considered entry fee will not be returned.. For 2014 the panel will comprise of six judges from within the SEA and three from outside and will combine both 2D and 3D entries.
Images will be retained for administrative and publicity purposes. Winners of prizes in the exhibition should also be advised that images of their work may also be used for merchandise sold in aid of the Society, such as calendars or cards. Artists will receive full credit for their work with contact details where appropriate and it is hoped that this will also work to publicise and promote members work. Artists who do not wish their work to be used for this purpose should inform the Secretary.

Hanging Fees: There are No Hanging fees
Hanging: Although every effort will be made to hang work which has been selected for exhibition this may not always be possible, and acceptance implies no obligation to hang. In the event of work accepted but not hung, the artist will be informed on Hanging Day (Monday 1st September) and will be expected to make arrangements for collection.
Labelling: ALL works must be clearly labelled with the Artist name, Category of membership (‘Non-Member’ ‘Friend’ etc), Title of Work, Medium used, Selling Price, Address and Telephone number.
For pictures: The label must be attached to the top of the picture and the string must be long enough to hang the label over the front.
In addition, the same details must be written on the reverse of the painting on a second label in case the luggage label becomes detached.
ALL paintings must be completely dry, and will not be considered for acceptance at handing in if they are not.
For sculpture: please tie the label to the piece and put the artists name and title on an adhesive label fixed to the underside of the work.
Framing: All pictures must be properly framed – Metal and clip frames will not be accepted. As in previous years at the Mall, ALL FIXINGS MUST BE REMOVED BEFORE HANDING IN.
Unframed work will not be accepted, with the exception of ‘Deep Canvases’ (the canvas must be a minimum of 30mm deep with no tacks or staples showing) and the painting must continue to the edge of the canvas (with no white edges showing).
Multi-image entries (e.g. triptychs) no longer need to be within one frame or attached together as one picture – this also applies to sculpture where the works need not be on the same base, but they MUST be clearly labelled as part of one entry.
Insurance: We are no longer offering insurance. Entrants are strongly advised to insure their work. The Society accepts no responsibility for loss or damage to uninsured work, and hereby expressly disclaims liability for any form of loss or damaged to exhibited work, or for physical injury to an artist’s reputation or for any other cause. The Society for All Artists (SAA) provides exhibition insurance at various levels for its members, and artists who do not already have insurance may find them useful.
Withdrawal of work: Work selected and handed in to the exhibition, cannot be withdrawn until its close on the Saturday 6th September – This includes whilst in storage before the exhibition commences (the exception would be work Accepted Not Hung).
Uncollected Work: Exhibited Work which was not sold at the exhibition may be collected between 3.15pm and 4.30pm on Saturday 6th September. Any work which remains uncollected after 4.30pm will be transferred and stored at the artists’ expense.
Commission: Commission of 40% of the catalogue price for members and 49% non-members (excluding the current rate of VAT if applicable and less casting costs for sculpture) will be deducted on all sales.
Discounting: All discounts are to be with the agreement of the Artist in question and that the discounted sale price would be that on which commission was taken.
Copyright: The submitted work must be entirely the artists own work and must not breach any copyright laws – ANY PHOTOGRAPHS THAT YOU USE AS REFERENCE MUST BE YOUR OWN, OR YOU SHOULD HAVE WRITTEN PERMISSION FROM THE PHOTOGRAPHER.
NEW – Sketch Work from the Workshops
This year we intend to give the opportunity to display at the Mall additional drawings/sketch work produced at the SEA workshops. Selection rules still apply to these works and they must accompany your other work to handing in day along with their own entry form and entry fee (by cheque only please).
Full details and entry form will be available for this purpose online and will also be emailed to those on the E-Mailing List. Copies will also be available at the various workshops. If you are entering please be sure to state which workshop the piece(s) were produced at. Sketch work – which may be pencil, graphite, charcoal, pastel or oil/acrylic sketches must not be mounted or framed. – but you may place them in a clear plastic wallet for protection until hanging day – and they should be clearly marked on the reverse with the artist’s name, address, title of work and sale price. Entry £5 per work entered, and up to three works may be submitted. No hanging fees. Maximum price for this work is £250 per item. It is stressed that sketches must be done from life at the workshop and not completed after the event from your reference photographs.

BY LEAVING YOUR ENTRY UNTIL THE LAST MINUTE YOU RUN THE RISK OF MISSING THE DEADLINE AND SLOW DOWN THE PROCESSING OF APPLICATIONS AS THE ADMINISTRATOR’S POSITION IS PART-TIME.
IT IS YOUR RESPONSIBILITY TO BE ACCURATE – ENTRY FORMS THAT ARE INCORRECTLY FILLED IN WILL BE DISCARDED WITH NO REFUNDS GIVEN
